East Grinstead Athletics Club

The club doesn't run itself. It runs on people like you.

Every session, every competition, every personal best — it only happens because volunteers give their time. We need coaches, administrators, and officials. Could one of those be you?

Three ways to make a difference

Each role is different in what it asks of you and what it gives back. Have a look — you might be surprised which one fits.

Coach

You'll work directly with athletes — planning and delivering training sessions, helping individuals set and reach goals, and being the person they look to for guidance and encouragement.

Time: Typically 2–3 hours per week, usually at a regular session slot
Qualification: UKA coaching qualification — we'll support you to get it
Currently: 3 qualified coaches in the club

What you'll actually do

  • Plan and lead training sessions for a specific event group or age group
  • Monitor athlete progress and adapt sessions accordingly
  • Attend away competitions with athletes when available
  • Keep a simple session log and communicate with parents where needed
  • Work collaboratively with assistant coaches and club leads

We'll give you

  • Support funding your UKA Level 1 or 2 coaching award
  • An experienced mentor during your first season
  • A full club DBS check at no cost to you

Assistant Coach

A great entry point into coaching. You'll work alongside a qualified coach, helping to run sessions, supporting individual athletes, and building your own skills and confidence as you go.

Time: 1–2 hours per week alongside a regular training session
Qualification: No prior qualification needed — enthusiasm is the starting point
Currently: 5 assistant coaches — but we could use more

What you'll actually do

  • Support the lead coach in setting up and delivering sessions
  • Work with small groups or individual athletes under supervision
  • Help with timing, equipment, and warm-up activities
  • Build toward your own coaching qualification over time if you want to

We'll give you

  • A full induction with an experienced mentor coach
  • Access to the UKA Assistant Coach qualification pathway
  • A full club DBS check at no cost to you

Administrator

The hidden engine of any club. Administrators keep everything running smoothly behind the scenes — from membership records and communications to competition entries and club governance.

Time: Around 2–4 hours per week, mostly flexible — no fixed sessions
Qualification: No formal qualifications needed — organisation and communication skills go a long way
Currently: 3 administrators — at full stretch

What you'll actually do

  • Manage membership registrations and renewals
  • Handle competition entries and athlete licences
  • Communicate with members via email and club channels
  • Support the committee with minutes, scheduling, and records
  • Help with grant applications and club development planning

We'll give you

  • A thorough handover and shared documentation from day one
  • Access to Athletics administration training through England Athletics
  • A supportive committee who won't leave you to figure it out alone

We know what you're thinking

That's the most common thing we hear — and it's a fair concern. Most of our volunteer roles fit around a normal working week. An assistant coach might give two hours on a Saturday morning. An administrator might work from home for an hour or two mid-week when it suits them. We'd rather have someone for a small, consistent commitment than no one at all. Tell us what you can realistically offer and we'll find a fit.

Good — we're not looking for people who already know everything. We're looking for people who care about athletics and are willing to learn. Every volunteer you see at EGAC started somewhere. We have experienced people who will mentor you, structured onboarding for every role, and a committee that genuinely wants you to succeed. You won't be thrown in at the deep end.

For roles working directly with athletes, a DBS check is required — and we'll arrange and pay for that. For coaching roles, a UKA coaching qualification is needed, but we'll support you to get there; you can start as an assistant coach while you work toward it. For administration, no formal qualifications are needed at all. We'll tell you exactly what's required for your specific role when you express interest.

Life happens. There's no contract, no minimum term, and no awkwardness if circumstances change. We'd always ask for a reasonable handover period so we're not left in the lurch — but we understand that volunteering has to work for you. If you need to step back temporarily or permanently, we'll appreciate what you gave and welcome you back whenever it suits.

No. Every new volunteer gets a named person to turn to, a proper handover, and access to all the documentation and systems they'll need. Our committee meets regularly and you'll never feel like you're working in isolation. The whole point is that we're a team — and that includes the people behind the scenes.

Take the first step

Fill in the short form and someone from the club will get in touch — no pressure, no commitment at this stage. Just a conversation about whether there's a good fit.
